Backups sound technical, but the idea behind a good backup is simple. It is called the 3-2-1 rule, and it is an easy way to think about whether your business files are really safe.
3 — Keep three copies of your files
Your working files are one copy. A backup makes a second, and another backup makes a third. If one copy is lost or damaged, the others are still there.
2 — Use two different types of storage
Your copies should not all live in the same place or on the same kind of device. For example, one copy on an external drive and one in the cloud. If one type fails, the other is separate.
1 — Keep one copy off-site
One copy should live away from your office — usually in the cloud. A fire, flood, theft, or break-in at your office should never be able to take every copy with it.
The 3-2-1 rule is simple, but it only works if backups run automatically and are checked from time to time. A backup nobody tests is a hope, not a plan.
